Admin HUMAN RESOURCES Positions:

Human Resources Director (internal hire)

Department: Human Resources

Reports To: General Manager

Hours: 12-16 per week

Paid: Yes            

Responsibilities:

  • Oversee the organization and maintenance of employee information via ADP and other systems
  • Collaborate with business units to source, develop, and retain the best talent
  • Communicate organizational values, policies, and practices with all employees
  • Create and lead all-staff trainings with OP members
  • Supervise and develop HR staff members
  • Analyze employee data to make continuous organizational improvements
  • Address all employee-relation concerns that arise promptly
  • Supervise performance management system by maintaining job descriptions and administering performance reviews semiannually
  • Work with OP members to research and develop new policies and procedures
  • Ensure compliance with legal regulations, including EEO and OSHA
  • Respond promptly to requests for employment history and data

Assistant Human Resources Director (internal hire)

Department: Human Resources

Reports To: Human Resources Manager

Responsibilities:

  • On-board and welcome new Daily staff members
  • Update and maintain all employee information and staff records
  • Organize employee files
  • Monitor staffing levels and recruit new talent when necessary
  • Help digitize and standardize HR practices
  • Update and maintain job descriptions
  • Manage jobs page and postings
  • Deactivate and off-board employees upon termination
  • Gather HR feedback from employees in the form of surveys

Human Resources Associate (applications closed)

Admin CREATIVE Positions:

Creative Director (internal hire)

Department: Creative

Reports To: Business Operations Officer

Hours: Approx. 15-20 /week

Responsibilities:

  • Work with Editorial Production Manager to ensure that the staff accurately executes the advertising design
  • Assist in the supervision and training of department staff, including preparing training materials as needed and developing other training resources
  • Assist in seeing that Daily policy and procedures are followed
  • Must be able to handle design layout problems as well as provide quick solutions to the problems in making quality advertisements each day
  • Fill in as needed with other department positions

Are you a tech savvy individual? Do you have an interest in graphic design or advertising? Sounds like you’re a budding designer. The Minnesota Daily is looking for creative designers who enjoy fast-paced environments, and who are ready to design creative advertisements for our clients.

Responsibilities:

  • Works closely with the retail sales department and marketing communications department to create ads for clients and internal promotions that withhold the design standards for the Daily
  • Integrate text and graphics into finished goods
  • Create the layout of advertisements for each paper
  • Follow deadlines both independently and as a team and enforce deadlines for employees from other departments
  • Work as a team member within the Creative department to produce ads and creative projects accurately and promptly

    Creative Intern (applications OPEN)

    Reports To: Creative Director

    The Creative Design Intern is a vital component to the Minnesota Daily’s Creative Department. The primary job duty is to support the Creative Director and Creative Designer by contributing to office tasks and design collaborations. Weekly meetings will be held to communicate current projects such as outside advertising and in-house promotional content as well as design research and ideation techniques. The Creative Design Intern will assist in newspaper layouts, organization tasks, and design collaborations. The Creative Department works closely with sales and marketing to develop the best designs for our clients and MN Daily’s brand.

     Responsibilities:

    • Organizing & maintaining department digital files.
    • Laying out the newspaper using InDesign and Photoshop.
    • Collaborate with the Creative Department to create advertisements and promotional materials.
    • Communicate in a professional graphic design setting by developing creative problem-solving skills and utilizing interdepartmental communication.
    • Learn about MN Daily’s brand and brainstorm with designers on ways to grow and improve it.
    • Create designs that will build your resume, portfolio, and experience with the Adobe programs.
    • Demonstrate the ability to adapt and succeed in a dynamic environment.
    • Research new design trends.

    Controller (internal hire)

    Department: Finance

    Reports To: General Manager

    Hours: Approx. 12-15/week. Work must be performed in the office during normal business hours (9-5, M-F).

    The Controller – Finance is one of five staff members who make up the finance department of the Minnesota Daily, the independent student-run campus news organization at the University of Minnesota. The finance department is responsible for the financial management and health of the entire organization and works with other departments to manage the budget, revenue, expenses, payroll, accounting, and all financial activities.

    Responsibilities:

    • Maintain company general ledger through Quickbooks
    • Supervise the creation of GL entries by accountants
    • Produce monthly financial statements (income statement, balance sheet, cash flow statement)
    • Work with Controller – Budget to coordinate actual revenue/expenses reporting with budget
    • Attend monthly meetings to present a monthly report to the board of directors
    • Reconcile bank statements
    • Monitor bank balances and investment account; consult with an investment adviser
    • Work with an outside accounting firm to produce annual audit, tax reports

The finance department is responsible for the financial management and health of the entire organization and works with other departments to manage budget, revenue, expenses, payroll, accounting, and all financial activities.

    Responsibilities:

    • Receive and sort all invoices and statements
    • Verify accuracy of invoices
    • Make sure that all check requests and invoices are authorized for payment
    • Determine proper expense accounts to be charged
    • Prepare general ledger entry to record payments
    • Print checks; provide checks and supporting documentation to authorized persons for signature
    • Record amount of checks issued in check register; monitor balance for available funds
    • File physical check stubs and supporting documentation

    The Accounts Receivable (A/R) Accountant is one of five staff members who make up the finance department of the Minnesota Daily, the independent student-run campus news organization at the University of Minnesota. The finance department is responsible for the financial management and health of the entire organization and works with other departments to manage the budget, revenue, expenses, payroll, accounting, and all financial activities.

    Responsibilities:

    • Receive and sort all payments for advertising and other amounts due
    • Record payments in the ad management system, matching receipts with invoices
    • Track advertiser accounts to make sure invoices, payments and adjustments are reconciled
    • Prepare and make the bank deposit
    • Prepare general ledger entry to record non-advertising bank deposits
    • Generate month-end closing reports that record, payments and finance charges
    • Prepare and mail month-end statements; check each for accuracy and make corrections as needed
    • Monitor credit balances and process credit applications
    • Work closely with ad sales team to accelerate the collection of overdue accounts
    • Respond to and solve any billing questions from advertisers

    The Payroll Accountant is one of three staff members who make up the accounting department of the Minnesota Daily, the independent student-run campus news organization at the University of Minnesota. The accounting department and the Controller are responsible for the financial management and health of the entire organization, working with other departments to manage the budget, revenue, expenses, payroll, accounting, and all financial activities.

    Responsibilities:

    • Review payroll submissions for accuracy and proper approval by managers
    • Resolve any questions or discrepancies with the controller or appropriate manager
    • Enter payroll amounts in ADP payroll system and submit for processing
    • Review payment records for accuracy; enter data in spreadsheets to track payroll expenses
    • Distribute checks to employees
    • File and maintain payroll reports
    • Respond to inquiries from staff members regarding payroll questions
    • Work closely with the HR department to ensure employee information is complete and accurate

    Information Technologies Manager (applications closed)

    • Delegate and approve purchases of new computer equipment in conjunction with the Business Operations Officer and Controller
    • Supervise the maintenance, upgrade, troubleshooting, and repair of Daily technology
    • Hire, train, and supervise Network Administrators and the Systems Administrator
    • Supervise documentation of supported systems
    • Supervise teams directed for specific systems development
    • Report to President on issues/concerns regarding systems (old and new) and development projects
    • Establish and maintain a budget for the department
    • Analyze and schedule maintenance for existing or projected systems
    • Ensures a high level of internal customer outcomes
    • Ensures that employees receive organizational orientation/training; develops training programs and documentation

    Qualifications:

    • Related major preferred (MIS, Computer Science, Computer Engineering, etc.)

    Information Technologies Intern (applications OPEN)

    • Respond to help requests

    Alumni Relations Director (internal hire)

    Department: Admin

    Reports To: General Manager

    Hours: 10-15 per week

    Responsibilities:

    • Collaborate with the General Manager to design and structure the Minnesota Daily Alumni Association Advisory Board and its functions
    • Work with the General Manager to select the MDAA Advisory Board  
    • Liaison between MDAA Advisory Board and current staff
    • Work closely with MDAA Advisory Board to achieve mission and objectives
    • Facilitate MDAA mentoring and networking program with current staff
    • Create and execute alumni fundraising initiatives in collaboration with the General Manager
    • Develop strategic partnerships with Daily alumni to secure sustainable funding and alumni cultivation
    • Manage and maintain the MDAA website with current news, opportunities, and fundraising initiatives
    • Work with alumni networks on campus to cultivate our program and ensure a mutually beneficial partnership
    • Communicate with OP members to identify project-based fundraising opportunities
    • Assist in the annual selection of the MDAA Student Representatives
    • Attend fundraising workshops and research similar programs to learn and implement best practices
    • Co-host and attend all MDAA-sponsored events
